Job Description: 

Summary of role:

Working within the busy Facilities Department providing support to existing functions and extended business activities seven days a week. You will work within a team, as well as act from time to time as a lone worker. Weekend work is an integral part of this role, to provide access for contractors to work on projects, which are generally scheduled for weekends.

Weekends are also the time when you will be able to productively complete assigned tasks such as painting & decorating/repairs/moving/constructing furniture/putting up shelves etc.

 

Key Responsibilities

Building Maintenance:

  • Cover all aspects of maintenance to keep the offices/building in perfect working condition
  • Painting and decorating
  • Carry out all logged repairs
  • Check all office floors for faults/issues and log in all requests from employees.
  • Log and monitor repairs that can’t be immediately fixed
  • Carry out daily, weekly and monthly checks of all facilities
  • Manage the activities of contractors on site to ensure that all jobs are completed in a timely and efficient manner
  • Oversee sub- contractors while on site
  • Liaise with contractors and cleaners to ensure commissioned tasks are conducted satisfactorily

 

Administrative duties:

  • Cover front desk duties as and when required to provide a continuous reception operation for business activities
  • Unpacking all stock that arrives into the office on a daily basis
  • Smooth running of the office – keeping it tidy and in order, encouraging colleagues to be tidy and to look after company assets
  • Distribution of post to all company sites
  • Managing the Facilities Mailbox, 1st response to staff queries and facilities equipment issues, via email, telephone and face to face.
  • Forwarding issues where necessary to the Office Manager, submitting Helpdesk tickets to the IT department or forwarding to other relevant departments where necessary
  • Internal stock management including stationary orders, kitchen supplies, etc
  • Managing the online meeting room booking system
  • Build and maintain good relationships with suppliers

 

Health and Safety:

  • General security responsibilities
  • Responding to everyday office incidents and assisting with emergencies
  • Reporting any hazards or non-compliance to the Facilities Manager
  • Update Health and Safety logs
  • Work in a safe manner and adhere to safe working practices at all times.

 

Key holder

  • Responsible for opening and locking the building

 

Other:

  • Setting up and clearing meeting rooms, including organising lunches/coffees/teas etc. for meetings and /or functions
  • Assisting with internal desk, small furniture, storage box moves and other office related items around the various sites
  • Any other reasonable duties required as part of the role
