Subject to a two-month probationary period.

Stage Door Department

The Stage Door Team is a mixture of part-time and casual staff. You provide a warm welcome to artists, creatives, visitors and staff.

You will work individually in a relay shift pattern.

Stage Door is the first point of contact for enquiries via phone, email and in person. You are also a hub for the building, a first port-of-call for information and support.

Stage Door is a safety-critical role, responsible for monitoring fire and security systems. You will play a key role during fire alarms and subsequent evacuations.

Members of the Stage Door team are responsible for opening and closing the building, and ensure key administrative and building processes run smoothly and are kept up-to-date.

 

Stage Door Administrator (part-time)

Responsible to: General Manager

Responsible for: Work experience placements and other volunteers, occasionally

Supporting: Stage Door Keeper casual team (around 8 people) Working closely with: Building Maintenance Manager, Technical Director, Front of House and Performance Managers

20 guaranteed hours a week are spread over three shifts per week.

Shift patterns at Stage Door are usually across all seven days of the week: 8am – 4pm and 3.30pm till building close, which may be as early as 7.30pm or as late as 11.30pm.

KEY RESPONSIBILITIES

Supporting the theatre's Administration & Day-to-Day Activity

• To lead on keeping Stage Door presentable and functional, ensuring a warm and helpful welcome to artists, staff and guests.

• Oversee and maintain administrative processes on stage door, always looking for more efficient and reliable protocols.

• Maintain the Stage Door Manual, ensuring it is kept up to date.

• Help the General Manager handle rota changes, shift swaps and staff illness.

• Oversee administration of recruitment, and ensure all stage door keepers are logging information accurately, and storing files correctly and with complete discretion.

• Respond to queries and comments. Resolve complaints in person in a sensible and sensitive manner and pass on any issues to the General Manager.

• Liaise with other departments to ensure the smooth running of performances and events.

• To lead on the training of new Stage Door Keepers. Regular Stage Door Duties

• Provide a friendly, clear and well informed service at all times both on the phone, in person and in writing.

• Open and close the building, performing walkarounds at unlock and lock up.

• Monitor the fire system and be able to operate the panel with confidence.

• Fulfil core fire evacuation responsibilities, acting as a hub for communication to ensure safe egress of those occupying the building, and remaining a key communicator during follow up processes.

• Record deliveries sent and received and distribute post. frank outgoing post and deliver to the Post Office at an agreed time.

• Input the schedule to Outlook, and keep up to date with the programme and events.

• To arrange interview schedules, phoning shortlisted candidates and booking them in.

• To provide ad hoc administrative support to members of theatre staff. This could include tasks such as helping with mailings, travel bookings.

• Undertake any other duties as required by the General Manager.

 

Person specification and Experience required: 

Essential Skills

Previous Reception / frontline experience with excellent communication skills – face to face, over the phone or on email

- Welcoming and courteous and ability to communicate with a wide variety of people.

- Reliable, with excellent timekeeping

- Positive, flexible and can-do attitude towards a sometimes busy and pressured workload.

- Absolute discretion and initiative, with confidence and calm in an emergency situation.

- Competent in the use of Microsoft Office programmes including Outlook and Excel.

- A commitment to diversity and equality of opportunity

- Self-motivated with a strong teamwork ethic

- Strong attention to detail and ability to work to multiple deadlines

 

Desirable

- Availability includes one weekend shift every week

- Prepared to work weekends and unsociable hours

- First Aid trained (certificate less than 2 years old)

- Fire Warden trained (certificate less than 2 years old).

- Previous experience in monitoring and operating fire and security systems.
