Hours: 35 hours per week exclusive of lunch breaks worked over a Mon-Fri week.

Additional hours at evenings and weekends may be required for which time in lieu may be granted. There are no extra payments for additional

hours worked. This role could potentially be a job share of 3 days per week and 2 days per week.

Salary: £20,300 per annum

Holiday: The annual holiday leave is 25 days per calendar year plus Bank Holidays.

Job Description: 

PURPOSE OF JOB:


On a day-to-day basis the servicing of our Friends & Patrons is carried out in the Membership office, managed by the Membership Manager, who reports to the Director of Development. In addition, the office services historic donors and supporters, other donor schemes, runs bespoke events, supports Education and Theatre departments in the marketing of the Theatres events and supervises Friends & Patrons volunteers. The role of the Membership Administrator is critical in supporting the Membership Officer and Membership Manager in the effective delivery of a range of services to members of Individual Giving Schemes and other donors. The post holder will support deliver the day to day administration involved in running the Friends & Patrons scheme, to ensure that our Members engage with and deepen their relationship with the Theatre. The post holder will be comfortable in liaising with a range of individuals within the Theatre, as well as being a highly competent database administrator. An essential pre-requisite is first-class customer service skills and being comfortable speaking to members on the phone. This would be an ideal role for somebody looking to move into a role within arts fundraising.

 

PRINCIPAL RESPONSIBILITIES

  • Be the first point of contact for the Friends of The Theatre
  • Processing new memberships and membership renewals
  • Assisting the Membership Officer in managing the Friends inbox
  • Support the Membership Manager and Membership Officer on initiatives to recruit and retain members
  • Assist the Membership Officer in arranging tickets for Patrons and Donors
  • Work alongside colleagues within the Communications Department to co-ordinate e-newsletter mailings to Friends
  • Financial responsibilities to include processing membership and donation payments by cheque, cash, credit/debit card and Direct Debit; running the daily reconciliation reports; collecting Friends Desk and Donations Chest takings to ensuring all income is reconciled
  • Briefing and delegating larger scale administrative tasks to our team of Friends
  • Desk Volunteers
  • Together with the Membership Manager, assist on a range of events for Friends and Patrons including Cultivation Evenings and Season Insight events
  • Manage stock levels of all membership materials and re-ordering as required
  • Collect and open membership post and sort, reporting and processing all queries and complaints, gift aid declarations, resignations and invoices
  • Process outgoing post
  • Hold responsibility for supporting the Development team with scheduling department meetings and room bookings
  • Assist the Events Coordinator in delivering successful events run by the wider development team including Corporate Hospitality, Galas and Press Night Receptions
  • Undertake administration duties as necessary

 

PERSON SPECIFICATION:

ESSENTIAL

  • An understanding of not-for-profit, charity, arts-based membership schemes
  • An understanding of fundraising processes and principles
  • Excellent interpersonal and communication skills, including a well-developed sense of tact and diplomacy.
  • Well-developed administrative, financial and customer service skills secured from working in an office or similar environment
  • Proven experience of databases, and excellent IT skills with a familiarity with all major MS Windows-based software packages
  • A team player with enthusiasm and a positive ‘can do’ attitude
  • A mature and trustworthy individual with a good eye for detail and methodical approach to tasks

DESIRABLE

  • Experience of working with the Tessitura CRM system
  • Experience processing Direct Debits
  • Experience of working for a not-for-profit, charity, arts-based membership scheme
  • A commitment to working within a creative arts/education environment
  • Flexibility to work some evenings and weekends
