Job Description: 

The Team

This role will sit within the Theatre Operations team. The team includes the Theatre Operations Director, Head of Theatre Operations, HR Director, Facilities Manager, Assistant Facilities Manager, Front of House Manager, Stage Door Manager, Catering Manager, Theatre Administrator, Theatre Operations Coordinator, Stage Door Keeper, Head of Business Development & Executive Assistant to the Executive Director and six Duty Managers.

Internally the HR Advisor will work closely with the HR Director, Head of Business Development and the Finance and Payroll Coordinator as well as with colleagues across all teams, and external contacts which may include recruitment agencies and other relevant service providers.

Purpose of job

  • To provide effective and efficient administration and HR advice across all HR activity.
  • With the HR Director, ensure that an added-value and agile, HR service is provided to all staff across various HR projects and deliverables across the organisation.

Areas of Responsibility

Hiring:

  • Providing talent attraction and acquisition support end to end, including advertising roles, raising purchase orders, coordinating screening, interviewing and room bookings as required and ensuring consistency of practice across open hires in line with Equal Opportunities, Diversity & Inclusion and GDPR requirements.
  • Maintaining full ownership of the Jobs inbox and answering any recruitment related queries.
  • Producing recruitment metrics as requested by the HR Director.
  • Working with external agencies and partners on roles as needed from time to time.

On-boarding and Off-boarding:

  • Drafting and issuing all necessary new joiner paperwork (including a variety of contracts) and carrying out right to work checks, reference checks and DBS checks (where relevant).
  • Liaising with hiring managers to arrange IT access for new joiners in advance of their joining dates.
  • Coordinating new joiner induction processes, ensuring all paperwork is produced, completed and actioned/filed correctly and that new staff are welcomed and well orientated.
  • Completing administration for all staff probation periods, job changes and leaver processes.
  • Keeping the Finance and Payroll Coordinator up to date with all relevant changes in a timely fashion.

Data Management:

  • Keeping all relevant HR databases and employee records updated, ensuring they are accurate at all times and maintained in accordance with the Data Protection Act 1998. This includes ensuring scanning, filing, photocopying and archiving is done on a regular, routine basis.
  • Working with the HR Director to produce management information and statistics as and when required.
  • Working with HR Director on project roll out of HRIS system.

Payroll/Finance

  • Tracking and collating all pay-related changes on a monthly basis and liaising with the Finance and Payroll Coordinator in line with submission deadlines.
  • Raising purchase orders, coding all HR invoices, handling queries and maintaining accurate records.
  • Administrating salary review and salary increase processes for unionised and non-unionised staff

Learning and Development

  • Carrying out administration for any learning and development activities as needed, including
     scheduling, logistics, liaising with training providers, raising any purchase orders and tracking
     training costs and staff attendance for our records.

Reward and Benefits

  • Carrying out all relevant benefits administration in liaison with the Finance and Payroll
    Coordinator and providing general advice to staff on other company benefits
  • Supporting annual appraisal and salary review processes, answering queries, tracking completion, updating records
     and communicating with staff and payroll in an efficient and accurate manner.
  • Keeping salary benchmarking data across key roles up to date.

Employee Relations:

  • Providing support and guidance on grievance, disciplinary and redundancy issues as appropriate and as overseen by the HR Director.
  • Attending meetings, taking minutes, producing and collating relevant documentation and maintaining confidentiality at all times.

Other Duties:

  • Managing the People inbox and any general HR queries
  • Keeping up to date with legislation changes and working with the HR Director and Executive Director to revise company policies from time to time.
  • Managing the Work Experience inbox and all related enquiries and placements.
  • Supporting the HR Director on family or special leave applications.
  • Drafting regular internal communications for benefits, wellbeing and events to drive engagement and cross-collaboration between teams
  • Supporting on roll-out of and annual engagement survey, analyzing and reporting on findings and arranging follow up sessions and tracking actions.
  • Working with Culture Club and representatives from teams on Staff Events.
  • Supporting HR Director on people-related projects from time to time.

General

  • Promoting leading by example with current legislation and The Theatre’s policies on Equality, Diversity, Child Protection and Safeguarding and Health & Safety both in the delivery of services and the treatment of others.
  • Promoting and complying with our policies and practices to lessen the environmental impact of The Theatre.
  • Undertaking training and personal development to meet business needs.
  • Undertaking any other reasonable duties, commensurate with the level of the post so as to ensure the smooth running of The Theatre.

Person specification and Experience required:

This role will provide an excellent opportunity to work with staff across all departments and to gain an understanding of how HR works alongside and collaborate with each team in enabling them to achieve their objectives.

Ideally coming from a previous HR Advisory or Administrative role, preferably within the arts or charity sector, the successful candidate will possess a good understanding of the objectives of HR and will have familiarity with key employment legislation, with an eye on upcoming changes and developments. They may also be studying towards their CIPD qualification or have an interest in pursuing this. Possessing prior working knowledge of relevant collective agreements including SOLT BECTU, Equity and Musician’s Union would also be beneficial.

The HR Advisor will be an exceptional communicator, smart and resilient, calm under pressure, enjoy being busy, be comfortable working in a non-conventional yet exciting environment and have a good sense of humour.  They will have excellent attention to detail and strong time management skills, be numerate and confident with all Microsoft packages (Excel in particular), be able to deal with sensitive issues and confidential information with tact and diplomacy and be comfortable adapting to changing priorities. Along with the HR Director, they will also act as a champion for equality & diversity and ensure compliance with confidentiality and data protection at all times.
