Job Description:

Responsibilities will include managing a major office move project and supporting senior management with front of house duties, meeting, scheduling, IT and human resources, reporting in to the Head of Operations.  Excellent IT and project management are critical, alongside attention to detail and a proven ability to meet deadlines and work as part of the team.  



  • Manage our office move, which is scheduled to take place in December 2018, including liaising with suppliers and contractors
  • Support the Head of Operations with the smooth running of the business and help the team deliver sustainability targets
  • Organise and schedule meetings
  • Book business travel arrangements, couriers, conferences and events
  • Maintain office correspondence, including franking and receiving post, crafting routine electronic correspondence
  • Perform reception duties such as answering phones where necessary
  • Manage the diaries and schedules of senior management
  • Liaise with clients and business guests
  • Solve simple IT problems and work with the IT department when necessary
  • Maintain electronic filing system, ensuring processes and software are up to date and in working order
  • Manage specific projects – for example organisation of company events – and follow-up with team members where required
  • Maintain office style
  • Maintain office supplies including stationery and consumables
  • Handle HR, Health & Safety and recruitment duties,  on-boarding new staff members and tracking staff holidays


Critical skills:

  • Proven executive support experience including: administration, organisation, clear communication skills, time and workload management, and full use of the Microsoft Office suite
  • Work with discretion, professionalism, and complete attention to detail
  • Able to use your initiative and have the confidence, persistence and motivation to get things done
